There are four ways to get a contact into Syncdo, and one rule behind all of them: the phone number is the identity. This covers each route in, what happens if the number is already there, and how to organise your leads once they are.
Two of the four routes below happen in the Syncdo panel inside WhatsApp Web, so you need the extension installed and connected first. If you have not done that yet, start with installing and connecting Syncdo.
The other two happen in the dashboard at app.syncdo.co. You sign in there with the same email address you connected the extension with.
This is the one you will use most. Open a conversation in WhatsApp Web and the Syncdo panel shows you that contact. If they are not a lead yet, add them from the panel. Syncdo attaches their number, the name WhatsApp has for them, and the conversation.
Once a chat is a lead, opening it again shows their stage, their fields and their history without you leaving WhatsApp.
The panel has a button for recent chats that are not yet in your CRM. Its tooltip reads:
Unsaved chats — recent chats not yet in your CRM
This is the quickest way to work through a backlog. Everyone who has messaged you recently and is not a lead appears in one list, so you can add them one at a time without hunting through your chat list. It is a view over chats you already have, so leaving it does not lose anything.
Use this for contacts who did not come through WhatsApp, like someone who called you or gave you a card at an event. Open the dashboard and use Add Lead. A phone number is required. Everything else can wait.
One thing this form does quietly for you: it only sends a stage if you deliberately pick one. If you leave it alone, a lead you already had keeps the stage it already has.
Use this if you are moving from a spreadsheet. The importer runs in two steps and does not expect your column names to match Syncdo’s.
Phone is the only column you have to map. You can also map name, lead stage, deal stage, company, city, state, email, and any custom fields you have set up.
This is the question we get asked most, and the answer is reassuring. Adding a number you already have updates the record you already have. It does not create a second one and it does not replace the first.
There is one case where Syncdo refuses instead. If the number already belongs to someone else in your workspace, you will see:
That phone number is already a lead in this workspace, assigned to someone else. Ask them to reassign it to you.
Syncdo will not move a colleague’s lead to you on its own. Nothing about that lead’s content is shown to you either. Someone with permission to reassign leads can hand it over.
Three things organise your leads once they are in. All three work on every plan, including free.
Deal stages are a separate thing and easy to confuse with lead stages. Lead stages track the person. Deal stages track a specific piece of business with them. Deals need Essentials or above.
